Security plan status

Our Written Information Security Plan (WISP) is planned and not yet completed. The Security policy explains the intended safeguards and the work required before this website accepts client tax information.

Privacy Policy

TaxFile360 is a trade name of Tax Pros 360 LLC ("TaxFile360," "we," "us"). This policy explains what we collect, why, and how we protect it when you use taxfile360.com or our tax preparation services.

1. Information we collect

  1. Identity: name, date of birth, Social Security or ITIN numbers for you, your spouse and dependents, and government-issued photo ID.
  2. Contact: email, phone, mailing address and text-message history with us.
  3. Tax and financial: W-2s, 1099s, income, deductions, prior-year returns, bank account and routing numbers for refunds or payments, and IRS or state notices you share.
  4. Payment: card details, collected and stored by our payment processor, Stripe. We do not store full card numbers.
  5. Website data: IP address, browser type, pages visited and cookies. See section 7.

2. How we use it

  1. Prepare, review and e-file your federal and state returns.
  2. Verify your identity and prevent fraud.
  3. Quote your price, process payments and handle refund transfers.
  4. Communicate with you by text, email or phone about your return.
  5. Meet legal duties, including IRS e-file and recordkeeping rules.
  6. Send newsletters and tax tips, only if you opt in. You can unsubscribe at any time.

3. Tax return information and your consent (IRC Section 7216)

Federal law limits how tax preparers use and disclose your tax return information. We use it only to prepare and file your return unless you give separate, signed consent. Our intake form asks for that consent in plain terms. You may decline or revoke any consent, and declining will not stop us from preparing your return. We never sell your tax return information.

5. How long we keep it

We keep return records for at least 3 years after filing, as IRS rules require, and up to 7 years to support amended returns or questions. We then securely delete or destroy them.

6. Your choices and rights

  1. Access or get a copy of your information.
  2. Correct inaccurate information.
  3. Request deletion, subject to our legal retention duties.
  4. Opt out of marketing emails and texts (reply STOP to texts).

Residents of states with privacy laws (such as California) may have added rights. Email hello@taxfile360.com to make a request. We will respond within 45 days and will not treat you differently for using your rights.

7. Cookies and analytics

We use essential cookies to run the site and analytics cookies to improve it. You can block cookies in your browser settings. Our tax calculators run in your browser and do not save what you enter.

8. Children

Our services are for adults. We collect children's information only as dependents on a parent's or guardian's return.

9. Security

Our Security policy describes the status of our planned WISP and the standards to be implemented before this website is used to collect client tax information.

10. Changes and contact

Terms of Service

These terms are a binding agreement between you and Tax Pros 360 LLC, doing business as TaxFile360. By using taxfile360.com or engaging us to prepare your return, you agree to them.

1. Our service

We prepare and e-file federal and state individual income tax returns (Form 1040 and 1040-SR), including qualifying self-employment (Schedule C) and rental (Schedule E) income. Returns are prepared by our team and reviewed by Enrolled Agents. Services not listed in our Disclosures (scope of service) are excluded unless agreed in writing.

2. Eligibility

Our standard packages serve households with total income up to $250,000. We may decline any engagement, including returns outside our scope.

3. Your responsibilities

  1. Provide complete, accurate and timely information and documents.
  2. Review your return before you sign and authorize e-filing.
  3. Keep your own records for at least 3 years.
  4. Tell us about any IRS or state notice you receive about a return we prepared.

You are legally responsible for the accuracy of your return. We rely on the information you give us and do not audit or verify it, except as required by IRS due-diligence rules.

4. Pricing and payment

  1. Basic preparation starts at $299. Your written, all-inclusive quote is provided at the end of the questionnaire and approved before preparation begins.
  2. Preparation, Enrolled Agent review, state returns and any applicable bank fee are included in your quoted price. No bank fee is added on top.
  3. Clients with business or rental income pay a $200 deposit at intake, credited to the final price. This deposit is part of your quoted total, not an additional fee.
  4. Card details are saved at intake and charged when work begins.
  5. Payment is due in full before e-filing, unless you choose to pay from your refund through a refund transfer. Refund transfers are offered by Santa Barbara Tax Products Group, LLC under its own terms. Any applicable bank fee is included in your quoted preparation price, never added on top.
  6. The price you approve at the end of the questionnaire is the price you pay for preparation. We do not add extra preparation, state or bank fees after that quote. Any tax owed to the IRS or a state is separate from our preparation price.

We may end an engagement if you give false information, fail to provide documents within 30 days of our request, or are abusive to staff. Refunds then follow the table above.

6. Accuracy guarantee

If the IRS or a state charges you a penalty or interest because of an error we made, we will correct the return at no cost and reimburse that penalty and interest. This does not cover:

  1. The tax itself, which you would have owed anyway.
  2. Errors caused by incomplete or inaccurate information you gave us.
  3. Changes in tax law or agency positions after filing.

To claim it, send us the notice within 30 days of receiving it.

7. IRS and state notices

Our service does not include responding to IRS or state notices, audits or collections, except to correct our own errors under section 6.

8. Communications

By giving us your phone number, you agree to receive texts about your return at 855-360-PROS (855-360-7767). Message and data rates may apply. Reply STOP to opt out of marketing texts.

9. Website use

Site content and calculators are for general information. You may not copy, scrape or misuse the site. All content and branding belong to Tax Pros 360 LLC.

10. Limitation of liability

Except for the accuracy guarantee, our total liability for any claim is limited to the fees you paid us for the return in question. We are not liable for indirect or consequential damages, or for delays caused by tax agencies, banks or events outside our control.

11. Disputes

Contact hello@taxfile360.com first. We will try to resolve your concern within 30 days. If we cannot, disputes will be resolved by binding individual arbitration under the rules of the American Arbitration Association, except that either side may use small-claims court. You waive any right to a class action. These terms are governed by the laws of New York.

12. Changes

We may update these terms by posting a new version here. The version in effect when you engage us governs that engagement.

Security

TaxFile360 plans to develop and maintain a Written Information Security Plan (WISP) for its tax preparation service. The WISP is not yet completed. It will document responsibilities, risk assessment, access controls, staff training, service-provider oversight, incident response, and periodic review. The standards below describe planned safeguards, not a certification that they are currently implemented. The WISP and required safeguards must be completed, implemented, and verified before this website’s intake or portal is used to collect client tax information. Until secure service launch is confirmed, use this website for general information only; do not submit Social Security numbers, tax documents, or bank details through the intake or chat.

1. Planned technical safeguards

  1. Encryption: require protection of client data in transit (TLS/HTTPS) and at rest in the software, portal, and storage used for the service.
  2. Multi-factor authentication: require it for staff on systems holding client data.
  3. Secure document exchange: verify approved intake and portal channels before accepting tax documents; ordinary email and text are not approved document channels.
  4. Access control: limit staff access to the client files needed for their roles and promptly remove access when someone leaves.
  5. Device protection: require updated operating systems, appropriate endpoint protection, and screen locks on staff devices.
  6. Monitoring and backups: establish logging, monitoring, protected backups, and recovery testing appropriate to the systems used.

2. Service-provider standards

Before collecting client tax data, evaluate the tax software, client portal, intake, storage, and payment providers used for the service. Select appropriate IRS-authorized tax software and providers capable of meeting applicable security and confidentiality obligations. Document provider oversight and payment-data handling in the WISP; do not treat a provider’s reputation or HTTPS alone as proof of compliance.

3. Planned organizational safeguards

  1. Designate a Qualified Individual to oversee the security program.
  2. Require staff confidentiality agreements and recurring security training.
  3. Establish identity-verification procedures before discussing or releasing return information.
  4. Review risks and update safeguards at least annually and when material changes occur.
  5. Define secure storage and destruction procedures for paper records, if any.

4. Incident response

If we learn of unauthorized access to client data, we will:

  1. Contain the incident and secure affected systems right away.
  2. Report it to the IRS through our Stakeholder Liaison and to state tax agencies as required.
  3. Notify affected clients without unreasonable delay, as state law requires, with steps to protect themselves.
  4. Notify the FTC as soon as possible, and no later than 30 days after discovery, when a reportable notification event involves at least 500 consumers’ unencrypted customer information, including information whose encryption key was accessed without authorization, as required by the Safeguards Rule.
  5. Review the cause and strengthen our controls.

5. How you can help

  1. Never send Social Security numbers or tax documents by regular email or text.
  2. Use a strong, unique password for your portal account.
  3. We will never ask for your password or full card number by text, email or phone. If someone does, contact us at hello@taxfile360.com.
  4. Consider an IRS Identity Protection PIN (IP PIN) at irs.gov/ippin.

TaxFile360 is committed to making our website and tax services usable by everyone, including people with disabilities. We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.2, Level AA.

What we do

  1. Design pages that work with screen readers, keyboard-only navigation and browser zoom.
  2. Use readable fonts, sufficient color contrast and text descriptions for images.
  3. Label forms clearly, including our intake form and calculators.
  4. Test the site regularly and fix issues as we find them.

Other ways to work with us

If any part of the site or intake is hard to use, we will help another way. Options include completing your intake by phone, sending documents through an alternate secure method, or receiving information in a format that works for you. There is no extra charge for these accommodations.

Third-party tools

Some features run on outside platforms, such as our client portal, intake forms and payment pages. We choose providers that support accessibility, but we do not control their sites. If you have trouble with one, contact us and we will help.

1. No government affiliation

TaxFile360 is a private tax preparation business operated by Tax Pros 360 LLC. We are not affiliated with, endorsed by or acting for the IRS or any state tax agency. Our Enrolled Agents are federally authorized tax practitioners licensed by the IRS. That credential is not an IRS endorsement of our business.

2. Estimates and calculators

Our calculators and refund estimates are estimates only. They rely on the information you enter and current tax law, and are not tax advice. Your actual refund or balance due may differ. Package starting prices and pre-questionnaire fee estimates are illustrative; your final, all-inclusive preparation price is provided at the end of the questionnaire and approved before work begins.

3. Refund timing

The IRS and states, not TaxFile360, decide when refunds are issued. The IRS issues most e-filed refunds within 21 days, but some take longer. We cannot guarantee a refund amount or date.

4. Refund transfers

A refund transfer is an optional bank product from Santa Barbara Tax Products Group, LLC that lets you pay our fees from your refund. It is not a loan. You can pay us directly instead and receive your refund straight from the IRS, which may be faster. Any applicable bank fee is included in your quoted preparation price, not added on top.

7. Your responsibility
